How We Work
The amount of time it takes to complete a venue search from the initial client enquiry to signing the contract can vary considerably. Some are completed within 24 hours but other more complex projects can take weeks or even months. Regardless of the size of the meeting or event we follow the same six fundamental stages:
Carry out venue search to produce list of potential venues. The number of venues we contact can range from 5 to 50 venues depending on the event and if more than one location has been requested by our client.
Event brief sent to all potential venues with an event questionnaire which is mandatory for all venues to complete to ensure we receive all the key information.
All event questionnaires are reviewed and the best options identified. We normally aim to provide a shortlist of about five venues.
Production of the proposal document summarising and comparing the short listed venues. This includes a price comparison and very detailed information of all the meeting / function space, which is accompanied by floor plans and images.
We organise all site inspections, which we are happy to accompany clients on.
Although we would have already done some initial negotiations, once the preferred venue has been selected we will see what further savings can be made. We will also review and manage the contracting process to ensure the venue’s terms and conditions are fair and reasonable.
